SG-PM-21-04 Phase 3 - Launching a Project
starting a job
- The Unit Manager allocates a Project Leader.
- The Estimator and the Project Leader carry out a handover/kick-off meeting.
- The Estimator hands over the Job Start Up form to the Project Leader during Handover meeting. The budgets are completed using the following forms:
- The Project Leader reviews the completed Job Start
Up, The forms is then takes to the Unit Manager for approval. All information must be completed (if not applicable, mark N/A) and attached with a copy of the client purchase order.
- The Project leader will determine if the project is a Minor or Major (this will be shown on the Startup Form).
- The Project Leader enters the data on Job Register.
- On approval of the startup form the Project Leader sends to the Account Department for entering.
- Accounts manager enters project / budget information in MYOB (Accounting System). The information will not be entered if the Job Start Up forms has not been completed fully or not approved by a Unit Manager.
- On entering the information the Account manager will send the startup form attached with the client purchase order back to the Project Leader.
Create job files:
- Admin will set up the job files using the filing templates (Minor / Major).
- Hard copy job file for the office.
- Project Folders in the common project Microsoft Outlook.
- Electronic job file on the company Server.
- Project Leader:
- Review the contract ensuring terms and conditions match the bid documents.
- Ensures Insurance documents required such as Certificates of Currencies are sought and submitted. Bank Guarantees and Bonds are ordered through Accountants.
- Ensures purchase orders to subcontractors match “back-to-back”.
- Prepares projected cash flows for the project duration.
- Minor Project File will consist of one file with the following details in the name of the file.
- Project File
- Project Number
- Client Name
- Job Description
- Major Project File will consist of one file and seven sub-folders with the following details in the name of the files/Sub-folders.
- Project File
- Project Number
- Client Name
- Job Description
- Sub-Folders
- Contract Documentation
- Site Report
- Drawings
- Quality Records (QA-QC)
- Health Safety & Environmental (HSE)
- Project Registers
- Project Photos
